Position: Secretary
Grade S2
Reporting to Chief Services & Support Officer
Location: Suruhanjaya Komunikasi & Multimedia Malaysia (SKMM), Cyberjaya
Salary
Minimum: RM 1,500
Maximum: RM 2,500
Ade OT
Working days:
5 days a week
8am - 5pm
Able to stayback sampai boss balik
Responsibilities
Working as Secretary to Chief Services & Support Officer (CSSO), you will be responsible for providing secretarial service to the associated division/departments, to help with the effective running of the CSSO cluster
• Contribute to the effective handling of internal and external contact by receiving and screening incoming phone calls and post, dealing or redirecting as appropriate to help support the overall efficiency of the CSSO cluster operation
• Prepare and manage correspondences, reports and documents
• Assist in the preparation and co-ordination of meetings (and related paperwork) including room bookings, travel arrangements, hotel & ticket bookings, catering arrangements and organise ad hoc events to help support CSSO cluster efficiency
• Build and maintain strong working relationships with Senior Management/Division & Department Heads and other colleagues ensuring a good flow of information and effective workload management.
• Assist with the production/amendment of reports and other documents as required to meet deadlines.
• Maintain schedules and calendars, arrange and confirm appointments
• Set up and maintain filing systems
• Assist in claim process
• Perform general secretarial functions
• Maintain and update the record of incoming and outgoing correspondences, files and other relevant documents
• Perform other administrative and ad hoc tasks as and when required
Qualification & Work Experience
• Diploma in Secretarial Studies or its equivalent
• Minimum 3 years working experience in a similar capacity
Other Attributes
• Good working knowledge of Microsoft Word, Excel and PowerPoint
• Excellent administrative, planning and organizational skills
• Good command of written and spoken English and Bahasa Malaysia
• A self starter with excellent communication skills
• Able to work with minimum supervision
• A comfortable and professional phone manner
• A positive attitude and a keenness to learn |
